Fulfillment in Poland without your own warehouse. How can you use e-commerce to enter a new market?

When the Romanian e-commerce brand BEM When it decided to enter the Polish market, it needed more than just vacant warehouse space. It was looking for a partner who could ensure efficient fulfilment services for foreign companies in Poland – from the initial receipt of goods through to system integration and day-to-day order processing. See how this collaboration unfolded, step by step.

The challenge: entering the Polish e-commerce market without your own warehouse

The expansion of an international e-commerce business into a new market is always a race against time. BEM, which is developing its online sales in Romania, wanted to reach Polish customers without having to invest in its own warehouse infrastructure. Representing the company Maksym Luchshev was looking for a partner who offered not only e-commerce warehouse, but a comprehensive e-commerce logistics in Poland – ready to handle orders from day one and flexible enough to grow alongside the client’s business.

Rather than building its own team and infrastructure from scratch, BEM decided to e-commerce logistics outsourcing and chose Alfa Warehouses as its fulfilment operator in Poland. Details of our offering can be found on the website fulfilment services.

How we began working together

We have planned the roll-out of our e-commerce fulfilment service in Poland in four stages – so that, right from the very first orders, goods reach BEM’s customers quickly and without errors.

01

Analysis of needs and volumes

We discussed the product range, seasonal sales patterns and expected order volumes in order to select the appropriate premises and processes.

02

Preparing the storage area

We have set aside and marked out storage areas tailored to the customer’s goods, ready for the first deliveries.

03

Integration of WMS with BaseLinker

We have integrated our WMS system with BaseLinker, which means that stock levels and orders are updated automatically.

04

Initial acceptance and commissioning of processes

We have received the first consignments of goods and have started handling orders and dispatching them on a daily basis.

Technology and systems integration

At the heart of this collaboration is WMS integration with BaseLinker – it enables real-time synchronisation of stock levels, order statuses and dispatch details between the BEM system and the Alfa Warehouses facility. As a result, the client’s team can see exactly what is happening with the goods, without having to manually update spreadsheets or make additional phone calls to the warehouse.

Such integration is the cornerstone of any well-designed e-commerce fulfilment in Poland – especially when sales take place across several markets at the same time.

Deliveries and couriers

BEM’s order fulfilment services include picking, packing and handing over parcels to couriers serving both the Polish market and international shipments. As the goods are already physically in Poland, order fulfilment times are reduced, and BEM’s end customers receive their parcels more quickly than if they were dispatched directly from Romania.

Impact of implementation

A stable process from day one

BEM orders are fulfilled on time, and stock levels remain in line with the customer’s sales system.

Full visibility of stock levels

The integration of the WMS with BaseLinker gives the BEM team real-time insight into stock levels without the need for additional communication with the warehouse.

Ready for further growth

The process we have developed can be easily scaled as sales grow and the product range expands.

Our aim was not simply to find a warehouse in Poland. We were looking for a partner with whom we could build a process ready for further scaling. The first stage allowed us to test the entire model in practice – from system integration to order fulfilment. Now we can focus on expanding our product range, boosting sales and entering new markets.

What next? Further scaling up of the collaboration

The first stage of the partnership enabled BEM to test the entire fulfilment model in practice – from system integration to day-to-day order fulfilment. The company can now focus on expanding its product range and sales, whilst Alfa Warehouses remains a logistics partner ready to serve the new markets BEM plans to enter.

That is precisely what a well-designed fulfilment services for foreign companies in Poland – grows alongside the client’s business, rather than holding it back.
